Sponsorships

All sponsorship packages come with a turnkey booth. If you do not want to exhibit, please reach out to summitsponsor@pointclickcare.com to discuss custom options. All exceptions must be pre-approved by the Sponsorship Committee before confirmation.

Exhibiting

PointClickCare will provide you with a booth, so you don’t have to bring one! Exhibit booths are designed with different benefits for each sponsor category. Graphic files for print production are to be supplied by each sponsor. Renderings, graphic templates and deadlines will be confirmed as soon as possible. Standard site services will include one electrical outlet and all install and dismantle labor of the turkey booth. Sponsors are responsible for setting up and dismantling their own assets. All assets brought to site by sponsors must ensure that the use of space does not exceed the booth size as per their registration. If additional services are required, sponsors are required to pre-book and pay for services in addition to their sponsorship fee.

Exhibit Space Only sponsors will be provided one six-foot table and two banquet chairs. Sponsors may bring a tabletop banner or a maximum of two floor banner stands and a branded tablecloth. All assets and staff must remain within the 6’ table space provided. Site Services and A/V are not included. Sponsors are required to pay for these separately if required.

All Sponsors are allowed to bring swag and extra booth assets and can order additional services, but the entire setup and staff must fit in the booth size as per your sponsor package.

The Exhibitor Guide will be sent to all contracted sponsors in December 2024.

It is the sponsor’s responsibility to ship and pick up their assets and bring them to their booth space during partner install. PointClickCare will not be responsible for picking up any packages from the ARIA Business Center. Advance warehousing information will be available in December 2024 in the Exhibitor Guide. Material Handling ordering form will be available in the Exhibitor Guide for any shipments sent to the advance warehouse. All sponsors must pay for this service in advance.

Yes! You can purchase one additional pass at full price in addition to what is offered in your sponsor package. Defer to the prospectus to confirm how many complimentary and discounted passes are included in your package.

Additional booth passes can be purchased once exhibitor pass registration opens.

All Staff Registrations are due by February 14, 2025. After this date, only name changes will be permitted.

If your sponsor/exhibit package includes this added value, the attendee list will be sent to the primary contact on your profile. Depending on your package, the send dates will vary.

  • Terms and Conditions:
    • The attendee list will include contact information of customers who opted-in to share their details. Contact information will include name, title, company, and email address.
    • Sponsors are allowed to use this list to connect with targeted customers once per the schedule below and must only refer to SUMMIT initiatives.
    • Sponsors cannot use the list to discuss any other campaigns or keep the list on file for future use.
    • The list is not to be shared with any other companies than the intended sponsor that it is sent to.

    • Diamond, Platinum, and Gold Sponsors:
      • 4 weeks and 2 weeks before SUMMIT: pre-show list released
      • 1 – 2 weeks after SUMMIT: post-show list released
    • Silver Sponsors:
      • 2 weeks before SUMMIT: pre-show list released
      • 1 – 2 weeks after SUMMIT: post-show list released
    • Bronze and Contributor Sponsors:
      • 1 – 2 weeks after SUMMIT: post-show list released

A certain number of Cvent lead capture licenses will be assigned to exhibitors based on your purchased exhibit package. Cvent lead licenses must be used on your own device or a scanner can be rented separately at an additional cost.

Booth location selection will be available in February 2025.

The booth selection process will happen in the order of registration. All invoices must be paid in full before your selection date.

1:1 meetings will be scheduled by the PointClickCare sponsorship team and the main contact on file to review the floor plan and pick your booth space live. This meeting will be no longer than 15 minutes. If you are unable to make your meeting timeslot, you can forward the invite to someone else on your team.

Registration

Registration confirmations will be sent via email once your application has been reviewed to ensure your company meets the criteria to sponsor. All sponsors must be contracted PointClickCare partners with a live integration. Partners are not permitted to register as attendees. The general attendee list will be reviewed by PointClickCare and if any partners are registered as general attendees, PointClickCare reserves the right to cancel their registration and is not liable for any costs incurred by the company for failure to comply with our rules and regulations.

The number of passes included with your booth depends on your exhibit package level. All booths include at least ONE complimentary and ONE discounted pass at $1099. Full price is $1199 as per rates noted above. See pass allocations here.

You may purchase one discounted pass at $1099 and one additional pass at $1199 per sponsorship package.

To register exhibit staff, log into the Cvent exhibitor portal (Admin Access Only). On the left-hand side select Team. You will then see the number of complimentary, discounted and full-price badges you have available. Select Register to begin registration within the portal or send weblinks to others within your company for them to register. Once they have registered, you will be able to see all your attendees in the portal.

Your pass will give you access to the entire conference except for the Pre-Conference.

Payment

Sponsor Fees as shown are in USD. For our Canadian Partners, we will invoice based on the conversation rate at the time of billing.

Deposit invoices will be sent after a signed agreement is sent. Final invoices will be sent starting December 2024. Should you need another copy of your invoice, you can request it by emailing summitsponsor@pointclickcare.com.

Payment terms are net 30 days from the date of the sponsorship invoice, with all sponsorship fees due on or before February 3, 2025. If a sponsorship agreement is received within 30 days of February 3, full payment is required.

We accept all major credit cards (Visa, MasterCard, American Express) and ACH checks.
